Description

John Snow, Inc. (JSI), a public health research and consulting organization, is recruiting for an admin wizard for our satellite office in Berkeley, CA. The Operations Manager will be responsible for administrative support for a variety of domestic projects related to current U.S. public health and health policy issues, including but not limited to: health care reform, safety-net health systems, and community-level prevention. The Operations Associate will be responsible for keeping our office running smoothly, including a mix of tasks related to administration, accounting, technical support, and communications. The ideal candidate will be flexible, enthusiastic, highly organized, and a strong multi-tasker with an entrepreneurial spirit and a desire to support JSI’s mission of promoting and improving health for all.

We are a team with many projects running simultaneously. The Operations Manager will support our consulting staff by managing all of the various operations and administrative tasks critical to running a small consulting office. Our headquarters is in Boston, and the Operations Manager will need to be able to develop relationships remotely with Accounting, Human Resources, and IT staff.

RESPONSIBILITIES

  • Provide project coordination support, including logistical coordination of project activities and events (interviews, meetings, trainings, workshops, webinars) and maintenance of project-related files
  • Assorted administrative duties including but not limited to:
  • Filling out/submitting expense reports, operating relationships with vendors including shipping and supply companies
  • Ordering office supplies and snacks, keeping supply room stocked and organized
  • Helping coordinate conference attendance and logistics
  • Coordinating digital document/file management and storage procedures
  • Answering calls to reception line, accepting deliveries
  • Serve as main contact for building and property management
  • Liaise with Accounting Department in Boston Office to manage company credit card and invoicing for office purchases
  • Liaise with IT Department in Boston Office to manage hardware and software inventory, and being point of contact and first response for issues with hardware (e.g., computers, printers, phones)
  • Schedule and coordinate occasional staff events and retreats, as well as celebrations for holidays and benchmark events, support staff wellness activities
  • Schedule staff meetings, set agendas and take notes during monthly staff meetings
  • Support design and communications efforts, including layout of documents, social media and web efforts
  • Contribute to business development efforts, including scanning websites for new business opportunities, coordinating logistics around business proposals, tracking proposals/business development efforts, and preparing annual summary of business development efforts

QUALIFICATIONS

  • Bachelor’s degree preferred
  • Experience serving as executive assistant or office manager preferred
  • Excellent project management skills, organizational skills, attention to detail, and communication skills
  • Friendly, outgoing, positive, courteous, professional demeanor
  • Self-starter with the ability to work independently and identify and act on improving systems
  • Problem solver & executor who can go into a meeting and walk away creating action items
  • Flexible and able to manage multiple deadlines / projects simultaneously.
  • Strong computer skills and aptitude in core areas, including Microsoft Office Suite
  • Ability and interest in learning new web-based platforms and technologies, including Google applications
  • Experience with accounting and budgeting
  • Preferred experience/interest in graphic design and layout (facility with Adobe software)
  • Ability to build strong working relationships with fellow employees, customers, and clients
  • Interest in learning about public health and social justice issues preferred
